But no matter where in this wide world you call home, it is important that your book you worked so hard to write and produce has the chance to be recognized and awarded!

2015 CIPA EVVY Rules & Guidelines

The following outlines the CIPA EVVY submission guidelines.  We want to make this process as easy as possible for you. Please read this entire document so that you know how to submit your books and where to send them.

ELIGIBILITY

Entry in the 2015 competition is open to any independently or self-published print book, e-book or audio book and may be submitted by the author, publisher or credited service provider (Illustrator, designer, editor, printer, consultant, etc). CIPA membership is NOT REQUIRED. 

If your book is only published in eBook or audio book format, then you may submit the electronic files only. However, if your book is produced in both print and electronic format, then you MUST submit print books for judging.

Each entry:

  • Must be in English or Bilingual with English as one of the languages.
  • Must have an ISBN and a publication date no earlier than 2011. 
  • Must not have been entered in any previous CIPA EVVY Awards competition. However, a book that has been revised and has been printed in a second edition may enter the CIPA EVVYs a second time.

 

SUBMISSIONS and CATEGORIES

Each book entered must be submitted in at least ONE regular category. You may submit your book in as many regular categories and as many technical categories as you wish. To enter a technical category, the book must be submitted in a regular category first.

NOTE: Audio and eBook awards are listed under the technical categories.

NOTE: EACH category entered requires a submission fee. (See “Fees and Submission Requirements”)

NOTE: If your book is only published in eBook or audio book format, then you may submit the electronic files only. However, if your book is produced in both print and electronic format, then you MUST submit print books for judging.

JUDGING, COMMENTS, SCORES

Judging entries: Each Regular categories entry is initially scored using the CIPA EVVY Scoring System consisting of 15 scored questions. Entries receiving a minimum average score of 70 on a scale of 0 – 100 are judged and scored by a 2nd judge. Entries that have received a minimum aggregate average score of 70 AND are deemed award worthy by both judges are designated. 

Judge selection is based on expertise, experience and acceptance of responsibilities. Preference is given to those having prior judging experience. CIPA members may be judged. All judges and/or those who have successfully completed the 4 ho ur CIPA Approved Book Competition Judge course. The names of the judges are confidential and will not be published.                           

Individual entry scores are confidential and will remain the property of the Colorado Independent Publishers Association.

Technical Category entries are judged by a 5-7 person panel and scored 0 – 100 by each judge, category by category. The highest average scores for each category are then reviewed by that category’s judges to determine finalists and winners.

NOTE: All submissions must pass a preliminary round before advancing to the judging. If the book has 2 or more errors (mechanical, grammatical, spelling) on any random 5 pages, it will not advance.

Regular Category $75 $95
Two or more Regular categories $60 $80
Each Technical category entered $25 $35

If you enter one category, the price is $75/$95.  If you enter two or more regular categories, the price for the first category as well as all subsequent categories drops to $80/$60 for each category. So, two categories for a CIPA member is $120. A non-member entering two categories is $160. 

 

AWARDS

  1. First, Second and Third place may be awarded for each category when Minimum scoring criteria are met. 

    The Awards Committee reserves the right to restrict or eliminate awards in any category where entries do not meet minimum scoring criteria.  Duplicate Awards may be given in case of tie scores in any category. 

  2. Merit Book designation may be given to an entry attaining the minimum required score for award consideration but not earning a place award.  

 


TIMELINES

March 1, 2015 - Entries accepted
June 15, 2015 - Last day to receive entries
July 31, 2015 - All finalists announced (Finalists may be announced earlier if the judges have finalized their category.)
August 23, 2015 - Awards Ceremony

 


SUBMISSION REQUIREMENTS

Do not send extraneous materials (press kits, bookmarks, etc.) or entries displaying indications of other awards.

If your book is only published in eBook or audio book format, then you may submit the electronic files only. However, if your book is produced in both print and electronic format, then you MUST submit print books for judging.

CIPA EVVY Awards is not responsible for loss or damage to any entry.  All entries become the property of CIPA EVVY Awards and will not be returned.  However, authors may pick up their book at the end of the awards ceremony if it is available. All print books not claimed by authors remain in the possession of CIPA EVVY Awards and will be donated to various charitable literacy organizations through the CIPA Education and Literacy Foundation, a 501(c)(3) Public Charity. 

 

NUMBER OF REQUIRED BOOKS TO SEND:                               

Print Books  

  • Two (2) books for each Regular category plus One (1) master copy
  • One book for each Technical category.

For example, if you enter your book in two Regular categories plus a Technical category, then you need to send six (6) books total (4 books for the judges—each judge gets sent a book—1 master copy and 1 book for the technical judging.)

Audio Books

If you are ONLY submitting an audio book, please send 2 disks for each category plus one master disk plus one disk for the technical category you’re entering. 

If you are submitting an audio book for a technical award, and your book is in print format, please only send ONE disk along with the required number of print books.

Please send a .Mobi and an .ePub file to Patricia@HugoHousePublishers.com if you are entering the eBook technical category or if your book is published ONLY in eBook format.

 

HOW TO PREPARE YOUR BOOK FOR SUBMISSION

  • For print books: Print a copy of the registration form (the form that was emailed to you after you registered your entry) for each book you send.  Place the registration form in the front of each book you send. This ensures your book is sent to the proper judges.
  • For audio books: A registration form (the form that was emailed to you after you registered your entry) must be FOLDED and TAPED to the jewel case of each disk provided.
  • For eBooks: Please forward the registration form  that was emailed to you after you registered along with the .Mobi and .ePub files to Patricia@HugoHousePublishers.com 
  • For ALL book submissions: Upload a jpeg file of your book cover to http://goo.gl/HGXGxe. This link is safe (it’s through Google), and it will keep all cover files safe.

THIS IS IMPORTANT. You MUST send CIPA EVVYs a cover. If you do not, and if you win an award, then you will not have your book cover appear on the certificate.

    • Digital file size for covers: the digital cover file needs to be 300 dpi.
    • Minimum width of the cover file should be 1500 pixels.
    • Name your file with the book title. (Example: ABedForFred.jpg)

You are NOT required to pay for your submissions online with a credit card.  If you opt to pay by check, please put the entry number of your registration on your check; put your check in an envelope with your name, the name of your book, and the entry number on your registration. This will ensure that your payment is processed.

2015 CIPA EVVY Submission Process

This is our twenty-first year, and we are excited to help audiences everywhere know the books that are the “best of the best.”

Please fill out the On-line Registration Form. Payment can either be made on-line by credit card or by check. If you elect to pay by check, send your check (Payable to CIPA - not BookCrafters) with your book submissions to the address indicated below under Sending Books.

Whatever payment method you choose, your book entries must be registered online. The entry form is easy to fill out.  If you have questions, please contact Patricia Ross, CIPA President, Patricia@HugoHousePublishers.com.

CIPA EVVY entries go through a rigorous judging process.  Please read the Rules & Guidelines before submitting your books. We also highly recommend you read the Judging Criteria so you know what to expect in the judging process. Categories - There are two overall book categories: Regular and Technical

 To enter the Regular category contest (from the list in Rules and Guidelines):

  • Each book submitted must be entered in at least one (1) Regular print category.
  • You may enter your book in as many Regular print categories as you want. Please note that each category you enter requires a fee because the book will be judged by different judges in each category.
  • The Online Registration Form (https://cipaevvyawards.wufoo.com/forms/2015-cipa-evvy-awards-submission-form/) will have a place for you to select your category choice/s.
  • Please send two (2) books for each Regular category entry, plus one (1) master copy.

To enter the Technical category contest:

  • You must have entered at least one Regular print category. Review the six technical categories listed below.
  • Choose which category (or categories) you would like to enter. There is no limit to the number of categories you may enter.
  • The Online Registration Form (LINK) will have a place for you to designate your choices.

Fees - Submission fees for CIPA Members and Non-Members are as follows:

Online Registration Form: 

Information about your book will be provided by completing the online form. Enter your name and contact information and the Regular and/or Technical categories you are entering.  You will be asked to pay when you have filled out the form. Your on-line payment receipt will be emailed to you. Each entry will receive a unique registration number.

  • If paying by check, please write your registration number on your check. Send your check (Payable to CIPA - not BookCrafters) with your books.
  • Print out and insert one copy of the online registration form in each book you enter in the contest. If sending three (3) books, print three (3) copies of the form.

CIPA EVVY entries are judged and scored according to established minimum acceptable criteria.  Only those entries that attain the minimum acceptable score become finalists with the highest scores in each category used by the judges to help determine each category’s winners, if any.

Judges are selected through CIPA’s competition judging qualification process and include teachers, business leaders, authors, critics, editors, readers and others.
